UK GDPR Privacy Notice
Last updated: 9 June 2026
Revitalize Wellness and Beauty is the data controller for personal information collected through this website, our booking system, client account area, in-salon forms, phone calls, messages, emails, reviews, events, studio hire enquiries, and direct contact with our team.
You can contact us about privacy at revitalizeforu@gmail.com or by phone on +44 7368 402051.
Personal Information We Collect
We may collect your name, email address, phone number, account login details, appointment history, selected services, practitioner preferences, appointment dates and times, payment method, payment status, booking notes, messages you send to us, review details, event or studio hire enquiries, and marketing preferences.
For some treatments, we may ask for relevant health, wellbeing, allergy, medication, pregnancy, injury, or suitability information. We only ask for information that helps us decide whether a treatment is appropriate and how to provide it safely.
We do not store your full card details. Online card payments are handled by SumUp, and we may store payment references, amounts, status, and transaction identifiers so that we can match a payment to your booking.
Why We Use Your Information
We use personal information to create and manage your account, book and manage appointments, send appointment confirmations and reminders, contact you about changes or cancellations, provide treatments, keep internal records, respond to enquiries, manage reviews, process payments, protect the security of the website, and meet legal or accounting duties.
We use email addresses and phone numbers to send service messages such as appointment confirmations, reminders, rearrangement notices, payment updates, and important booking information.
We may also use email addresses and phone numbers to send offers, news, events, seasonal updates, or promotions where you have consented or where the law allows us to rely on the soft opt-in for existing customers. You can opt out of promotional messages at any time.
Our Lawful Bases
Under UK GDPR, we use different lawful bases depending on the reason we process your information.
Contract: to take bookings, provide treatments or services, manage your account, process payment status, and communicate about your appointment.
Legitimate interests: to run the business, manage appointment reminders, prevent missed bookings, respond to enquiries, improve our services, keep basic client records, and protect the website and our salon.
Consent: for optional promotional emails or texts where consent is required, and for treatment suitability information where it includes sensitive health or wellbeing details.
Legal obligation: where we need to keep records for tax, accounting, legal, regulatory, or dispute purposes.
Appointment Reminders
If you book with us, we may send reminder messages by email or SMS using the contact details you provide. These are service messages about your booking and are intended to help you remember, rearrange, or attend your appointment.
SMS reminders may come from 07405 867853. Please keep your phone number and email address up to date in your account or by contacting us.
Promotions and Marketing
Promotional messages may include offers, treatment updates, loyalty information, events, gift ideas, or salon news. We will only send promotional emails or texts where you have opted in or where the soft opt-in applies to existing customers under UK electronic marketing rules.
You can opt out of promotional messages at any time by using any unsubscribe option provided, replying to a message where available, or contacting revitalizeforu@gmail.com. Opting out of promotions does not stop essential appointment or service messages.
Who We Share Information With
We only share personal information where needed to run our services. This may include our practitioners or staff, website hosting providers, database and IT support, email and SMS providers, payment provider SumUp, professional advisers, insurers, regulators, or authorities where legally required.
We do not sell your personal information. If we use a service provider, we expect them to protect your information and use it only for the service they provide to us.
How Long We Keep Information
We keep personal information only for as long as reasonably needed. Appointment and account records are kept while you remain a client and for a reasonable period afterwards so we can manage bookings, respond to queries, keep treatment history, and meet legal or accounting duties.
Marketing preferences are kept until you opt out or ask us to remove them. Payment records are kept as needed for accounting, reconciliation, and dispute handling. We may keep some records longer if required by law, insurance, tax, or legitimate business reasons.
Your Privacy Rights
You have rights under UK data protection law, including the right to ask for a copy of your personal information, ask us to correct it, ask us to delete it, object to some uses, restrict some processing, withdraw consent where we rely on consent, and complain to the Information Commissioner's Office.
To exercise your rights, contact revitalizeforu@gmail.com. We may need to confirm your identity before responding. You can also contact the ICO at ico.org.uk/make-a-complaint.
Keeping Information Safe
We use reasonable technical and organisational measures to protect personal information, including account access controls and limiting access to people who need the information to provide services or run the business.
No website, email, or SMS system can be guaranteed completely secure. Please use a strong password for your account and contact us quickly if you believe your information has been accessed without permission.
Cookies and Website Information
Our website may use essential cookies or similar technologies to support login, booking, security, and basic site function. If we add non-essential analytics, advertising, or tracking cookies in future, we will update this notice and provide any required choice or consent options.
Appointments
Advance booking is recommended. Appointment requests are subject to confirmation.
Cancellations
Please give as much notice as possible if you need to cancel or rearrange an appointment.
Lateness
Late arrival may reduce available treatment time in order to avoid affecting later appointments.
Consultation and Suitability
A consultation may be carried out before treatment begins to ensure the session is appropriate for the client's needs and circumstances.
Wellness Notice
Treatments are intended to support general wellness, self-care, and relaxation. They are not a substitute for professional medical diagnosis or treatment.
